The Busy Season Survival Kit

Who it's for: anyone heading into year-end, audit, budget or exam season, and managers who want to send the team a small "we see you".

What you'll get: what goes in a good busy season kit, by budget, team gestures that cost nothing, timing tips, and ready-made notes to tuck in the box.

Reading time: about 4 minutes. Read it now; you won't have time in January.

This is a gift guide from the Month End Club shop.

Why a survival kit helps

Busy season isn't one bad week. It's several in a row: year-end close, audit fieldwork, the budget and sometimes exams, all at once. A small kit doesn't shorten the hours, but it says the team noticed, and it puts the basics for a long day within reach.

What goes in the kit

Item Why it earns its place
☐ A good mug The most-used object on any finance desk in January
☐ Proper tea, coffee or hot chocolate Better than the office jar, and a small daily treat
☐ Snacks that aren't all sugar Nuts, oatcakes, fruit, alongside the biscuits
☐ A refillable water bottle Late-afternoon headaches are often just dehydration
☐ Lip balm and hand cream Winter offices are dry
☐ Sticky tabs, highlighters and a decent pen For the tick and bash, and the audit queries
☐ A cap for the commute For the walk home in the dark, and the hair you didn't have time to do
☐ A handwritten note The part people keep

From the Month End Club shop

Here's what's in the shop right now, and where each fits in the kit.

  • The Team Mug (£11.99). An 11oz ceramic mug printed on both sides with their team: Accounts Payable, Accounts Receivable, Payroll, FP&A, Financial Control, Audit, Tax, Treasury or Leadership. Dishwasher and microwave safe. The centre of the kit. Buying for the team? At the time of writing, four or more saves 20%; check the product page for the current offer.
  • Caps and beanies (from £22.99). The Dad Hat and Washed Cap have the Month End Club logo embroidered on the front and a small tick on the side; the Beanie keeps the walk home after a late close warm. For the walk home in the dark.
  • Phone cases (from £16.99). Tough, clear and MagSafe cases for iPhone and Samsung, with designs like "Professional Sceptic?", "Do Not Disturb" and "Airplane Mode until the books close". "Do Not Disturb" and "Airplane Mode" say what everyone is thinking in January.
  • Bags (from £24.99). Printed and embroidered shopping bags, including "Debits Credits Done", plus a crossbody bag for the commute. For carrying the laptop, the lunch and the snacks.

We're adding new products and designs all the time, so check the new in page for the latest.

Everything is made to order and usually dispatched in 2 to 5 working days, plus delivery. For a January year-end, order in early December.

Kits by budget

Budget per person What to include
Under £15 Team Mug, a sachet or two of good coffee or tea, and a note
£15 to £30 Team Mug, coffee or tea, snacks, hand cream, sticky tabs, and a note
£30 to £50 A cap, plus the mug and the full kit above

If the company is paying, payroll or HR usually check the tax treatment of staff gifts first. The gov.uk guidance on trivial benefits explains the rules for small non-cash gifts.

Gestures that cost nothing

  • Protect the close days. No routine meetings on the busiest days.
  • Give back the time. A planned quiet week after the audit, and time off in lieu actually taken.
  • Say thank you specifically. Name the reconciliation, the deadline or the late night.
  • Take a request off someone's plate. A manager fielding the "quick question" emails is worth more than any snack.
  • Celebrate the finish. Mark the end of audit fieldwork, even with just an early finish on a Friday.

Ready-made notes for the kit

  • "For the long days ahead. Thanks for everything you'll do this season."
  • "One mug, unlimited refills. See you on the other side of the audit."
  • "Busy season: temporary. This team: permanent. Thank you."
  • "Supporting documentation for a great year-end. Thank you."
  • For exam season: "Good luck with the exams. The close can wait; you've got this."

Key takeaways

  • A mug, good coffee, snacks and a handwritten note make a strong kit at any budget.
  • Order made-to-order items a few weeks before the peak.
  • The gestures that cost nothing (protected time, specific thanks) matter most.
  • Check the tax treatment if the company is paying.

FAQs

When should we hand out busy season kits?

At the start of the peak, so they're useful through it. For a December year-end, many teams hand them out in the first week of January.

Is it OK to give kits to auditors too?

Auditors often have rules on accepting gifts from clients, to protect their independence. Coffee and biscuits in the audit room are usually fine; personal gifts are often not. Ask the audit manager if unsure.

Can I make the kit for myself?

Absolutely. Nobody reconciles better than someone who planned their own snacks.
